Your data is arguably one of the most important resources you own. You have probably already considered what a nightmare it would be if that data was lost, and that’s why you make sure that you carry out a back up every night.
But how long do you keep records for? How far back can you restore data from? A week? A month? A year? If you rotate your tapes every 2 weeks, that means that if it takes more than a fortnight before you discover you’ve deleted an important file, it’s too late. That file is lost.
Assuming you religiously back up data on a week, month and year end basis, where do you store those tapes? For many organisations, they are stored on site, just next to the server. So what happens if the server catches fire or if the server room is a victim of theft? All that carefully stored data is permanently lost.
For all of these reasons, industry best practice, and advice from professional bodies such as the IFA, is that all organisations should take a secure back up of all their data at month end. That tape should then be stored safely off site for a period of at least five years.
