What is IT support for charities, and what do we offer?
IT support plays a crucial role in keeping charities running smoothly, securely, and cost-effectively. At ramsac, we understand that charities face unique pressures, from tight budgets and limited resources to increasing digital demands. Our totalIT services are designed to help charities and nonprofits meet these challenges, empowering you to focus on your mission while we take care of the technology that powers it.
From the donors and volunteers to staff and service users, your charity depends on reliable IT systems to communicate, collaborate and deliver services efficiently. Our managed IT services incorporate proactive support, independent advice and expert consultancy, so you’re never left behind.
We know how important it is that every technology investment delivers value. That’s why we provide only the most trustworthy, independent advice to help you make strategic, cost-effective IT decisions.
Technology is now a governance issue, not just an operational one. The Charity Commission expects trustees to manage risks to their charity’s assets – including the personal data it holds – and to report serious incidents such as cyber-crime or a significant data breach. Its reserves guidance (CC19) also asks trustees to plan for the costs that keep a charity running, which includes replacing laptops, renewing licences and recovering from an incident. We give your board clear, plain-English reporting on IT risk and spend, so trustees can evidence that they’re meeting those expectations.

Charity IT support: frequently asked questions
Separate your core running costs – licences, support and security – from project spend. Fund the core from unrestricted income and write IT costs into every grant bid, so restricted projects carry their own technology costs. A fixed monthly, per-user support fee makes spend predictable, and a planned three-to-four-year device replacement cycle can be reflected in your reserves policy. With totalIT, you get a fixed monthly cost and a quarterly IT roadmap that trustees can use for budgeting.
Yes, though the offers have changed. Microsoft retired its free Microsoft 365 Business Premium grant at each charity’s first renewal on or after 1 July 2025. Eligible charities can still get up to 300 free Microsoft 365 Business Basic licences, and discounts of up to 75% on Business Premium, which adds device management and advanced security. Google for Nonprofits gives eligible UK charities free Google Workspace for Nonprofits and Google Ad Grants. We check your eligibility and recommend the most cost-effective, secure mix.
Donor and beneficiary records are personal data under the UK General Data Protection Regulation (UK GDPR), and some, such as health information, are special category data that need extra protection. Core controls include multi-factor authentication (MFA), encrypted devices, access limited to the people who need it, tested backups and a clear retention policy. Most charities must also pay the Information Commissioner’s Office (ICO) data protection fee unless an exemption applies. We put these controls in place and keep them monitored.
They vary by funder, but Cyber Essentials – the government-backed scheme run by the National Cyber Security Centre (NCSC) – is the one most often requested. UK government contracts that handle personal data generally require it, and charities working with NHS data usually need to complete the Data Security and Protection Toolkit (DSPT). Grant agreements may also ask for data protection policies and incident procedures. We help you achieve Cyber Essentials or Cyber Essentials Plus and keep the evidence funders ask for during due diligence.
Give volunteers who handle sensitive data a charity-managed device where you can. Where volunteers use their own phones or laptops (bring your own device, or BYOD), Microsoft Intune can keep charity data inside managed apps and remove it remotely without touching personal files. Require MFA, give each volunteer only the access their role needs and remove it the day they leave. Volunteer-owned devices that access charity data can fall within Cyber Essentials scope, so a written device policy matters.
Often, yes. The Charity Commission expects trustees to report serious incidents promptly, including cyber-crime and significant data breaches. Fraud and cyber-crime should also be reported to Report Fraud (formerly Action Fraud). A personal data breach that risks people’s rights and freedoms must be reported to the ICO within 72 hours of becoming aware of it. totalIT secure and premium include 24/7 monitoring, so incidents are spotted early and you have the facts trustees need to report.
